For Franchise Owner-Operator (Service Business)s ·
What you'll accomplish
Every season the same job lands on your desk: a community post, a flyer, an email to past customers, a referral ask. Each one takes a fresh start and a fight to sound like your brand. You will build a Claude Project that holds your brand voice notes, the approved wording you are allowed to use and a few of your own past posts. After that, a first draft takes a few minutes and stays in your voice, and every claim in it is labeled with the file it came from.
What you'll need
Brand material and data caution. Franchisor brand materials are usually confidential. Before you upload any of them, read the confidentiality terms in your franchise agreement and ask your franchisor whether they can go into an AI tool. If the answer is no or unclear, write a short paraphrase in your own words and upload that instead. Past posts can carry customer names, photos or neighborhood details, so strip those out first. Then open Claude's privacy and data settings and check whether your chats and files may be used to improve the model and how long they are kept. Customer records never belong in this Project. Those stay in the brand's required system.
Claude can only match a voice you describe. Ten minutes here pays off in every draft.
What you should see: a half-page file that reads like a note to a new hire. Troubleshooting: If you are stuck, paste two of your past posts into a normal Claude chat and ask, "Describe the voice in these posts in six short lines." Edit the answer until it sounds right to you.
What you should see: a short document with numbered, approved lines and nothing invented. Troubleshooting: If the manual is long, copy only the marketing section. A short file is easier to check.
What you should see: one file with three or four short samples. Troubleshooting: If you have fewer than three, use what you have. You can add more later.
Claude's help page describes a project as a self-contained workspace with its own chats and a knowledge base. Button names may differ slightly on your screen.
What you should see: an empty project page with areas for instructions and files (the help page calls the files area project knowledge). Troubleshooting: If you do not see Projects, check Claude's help center for your plan and app version, or try the website instead of the phone app.
What you should see: three files listed in the project. Troubleshooting: Claude's upload page lists PDF, DOCX and TXT among the supported types. If an upload fails, save the file as plain text and try again.
Find the place to add project instructions and paste the text below. Replace [Your Brand] with your brand name.
You write local marketing drafts for the owner of a [Your Brand] franchise territory.
Rules:
1. Write only in the voice described in the brand voice notes file. Match the past posts file for length and rhythm.
2. Use only wording and claims found in the approved wording file. Do not add any offer, price, discount, rating, award, guarantee, license, insurance, certification or service claim that is not in that file.
3. Put every offer, discount, date, link and unconfirmed claim in [square brackets] for the owner to fill in or confirm.
4. After each draft, list every claim you used and name the file it came from. If a claim came from nowhere, say so.
5. Never write a review, a testimonial or a customer quote. Never mention a real customer.
6. Do not state any law, platform rule or franchisor rule.
7. End every draft with this exact line: For brand approval if your manual requires it.
8. Ask the owner one short question if the request is missing the audience, the channel or the length.
What you should see: the instructions saved with the project. Troubleshooting: If a draft breaks a rule, name the rule in your next message ("Rule 2: remove the claim that is not in the file") and tighten that line in the instructions.
Community event post
Write a community post for a [local event] that [Your Brand] is attending in [neighborhood]. Under 60 words, friendly, no offer unless it is in the approved wording file. Add a [photo] placeholder. List every claim and its source file.
Door-hanger or flyer text
Write door-hanger text for [service] in [neighborhood]. A headline, two short lines and a call to action with a [phone or booking link] placeholder. Use only approved wording. Put anything not in the files in brackets.
Referral ask
Write a short referral ask for existing customers. Thank them first. Put the [referral reward] in brackets because I decide it with my franchisor. Under 80 words.
Seasonal email subject lines
Give me six subject lines for the [fall deep clean] email. Plain and warm, no all-caps, no claims that are not in the files.
Voice check
Read this draft and mark every sentence that does not sound like the voice notes file. Suggest a rewrite for each one but do not add new claims.
