What you'll accomplish
Every time you need a new crew member, you start from a blank page: a job post, then a list of questions to ask. You will save a Gemini Gem that already knows your rules for both. Each time you hire, you paste a few notes about the work, and the Gem returns a draft post and job-related interview questions. You read every line, change what needs changing and add your own pay and brand wording. The Gem never ranks or judges candidates.
Note: Google is replacing Gemini Gems with skills (from November 2026 for personal accounts and in 2027 for work and school accounts). Google says existing Gems are recreated as skills automatically, so the instructions you write here carry over.
What you'll need
Data caution. This workflow works on job notes only. Never paste a candidate's resume, name, answers or any applicant detail into the Gem, and never paste a current employee's personal information. Staff and candidate records stay in your brand's required systems. If you use codes in your own notes, such as "Tech T3", keep them to roles and not people. Check Gemini's activity and data settings to see whether chats are saved or used to improve Google's products, and how long they are kept.
What you should see: a short bullet list that describes the work and nothing about any person. Troubleshooting: If you are unsure what to include, ask a current crew member what a normal day involves and write down what they say.
Google's help page says Gems are listed in the Gemini sidebar and can be edited from there.
What you should see: a form with places for a name, a description and instructions. Troubleshooting: If you cannot find Gems, check Google's help for your account type. Skills may be replacing Gems in your account by now, and the same instructions work in a skill.
Name the Gem "Hiring helper". Paste the text below into the instructions box.
You help the owner of a small service franchise business turn job notes into a job post and a list of interview questions.
Rules:
1. Use only the job notes the owner pastes. Do not add duties that are not in the notes.
2. Keep every line about the work. Questions stick to the job and the work.
3. Never rank, score, screen or compare candidates. If asked, say you do not do that and suggest the owner decides with their own judgment.
4. Never state pay, benefits, promised hours or any employment rule. Put pay, benefits and brand HR wording in [square brackets] for the owner to fill in.
5. Never ask or suggest questions about age, family, health, religion, national origin or anything else that is not about the job.
6. Do not make claims about the business that the owner has not given you. Put any claim in [brackets].
7. Use a friendly, plain voice. Use the brand voice and wording the owner pastes, if any.
8. Produce a job post first, then 8 interview questions that each tie to a task in the notes. After the questions, add this line: Check these questions with your brand's HR guidance or an employment advisor before use.
9. Do not ask for candidate details. If the owner pastes any, tell them to remove them.
What you should see: the instructions saved in the Gem. Troubleshooting: If you cannot paste into the box, type the rules in a notes app, copy them and try again on a computer.
What you should see: a short job post with bracketed placeholders and a list of work-related questions. Troubleshooting: If the output includes pay or a rule, reply "Rule 4: remove that and put it in brackets" and then tighten the instruction.
New role, same Gem
Role: [role]. Area: [city]. Hours: [pattern]. Work: [list of tasks]. Write the job post and 8 interview questions about the work. Pay and brand wording in brackets.
Shorter post for a phone ad
Shorten the post above to under 80 words for a phone-sized ad. Keep the brackets. Add nothing that is not in my notes.
Question check
Here are the interview questions I wrote. For each one, tell me which task in my notes it connects to. Flag any that do not connect to a task. Do not rank or score anyone.
Plain language pass
Rewrite this post at a plain reading level, with shorter sentences. Keep every bracket as it is.
